The short version

How long you can still get to your data

QuickBooks Online data access after canceling, from Intuit's help articles (checked October 30, 2026)
SituationWhat Intuit says
Paid subscription, canceledRead-only access for one year. You can export to Excel or to a desktop version of QuickBooks during that year.
Free trial canceled or expiredData available for 90 days. Export within that window.
Card declined14 days of full access to update billing. After that the account is suspended, and you have to re-subscribe to reach your data.
Payroll canceled, you file your own taxesAccess to payroll data for 6 months after you cancel.
Payroll canceled, Intuit files year-end formsAccess to your payroll account until June 1 of the following year.

Our note: read-only access is a safety net, not a plan. Do your exports while the subscription is still active, so you can fix anything that looks wrong before you lose editing rights.

Step 1: the one-click export of reports and lists

This is Intuit's main export. It saves your reports and lists as Excel files bundled in a single .zip file:

  1. Go to Settings ⚙ and, in the Tools column, select Export data.
  2. Select your reason for exporting, then select Continue.
  3. On the Reports tab, pick a date range from the pre-selected date ranges dropdown.
  4. Turn reports and lists on or off on the Reports and Lists tabs.
  5. Select Export to Excel, then OK.

Our suggestion: choose the widest date range on offer (the life of the business if you can), and run a second export for just your last full financial year so your accountant has a smaller file to work with. If you're on QuickBooks Online Advanced, Intuit points to its Custom Report Builder for more specific exports.

Step 2: what the bulk export misses, and how to get it

Intuit's export article lists these as separate exports, because they're "non-posting" transactions or other data that don't affect your reports. Menu names follow Intuit's help center as of October 30, 2026.

Separate exports in QuickBooks Online, per Intuit's "Export your QuickBooks Online data" article
DataWhere to export it
EstimatesAll apps → Sales & Get Paid → Sales transactions. Set Type to Estimates, pick the date range, then Export to Excel.
Purchase ordersAll apps → Expenses & Bills → Expense transactions. Set Transaction Type to Purchase order, set the date range with the Filter icon, then Export to Excel.
Customer statementsAll apps → Customer Hub → Customers & leads. Open a customer, pick the statement on the Statements tab, select Print, then the Download icon. This is one customer at a time.
Attachments (receipts, documents)Settings ⚙ → Lists → Attachments. Select them, then Batch actions → Export. They download as a .zip file.
Recurring templatesReports → Standard reports → Recurring Template List → Export to Excel.
Chart of accountsReports → Standard reports → Account List → Export/Print → Export to Excel.
Products and servicesAll apps → Sales & Get Paid → Products & services → More → Run reports → Export/Print → Export to Excel.

Every new accounting system asks for these. Xero, Zoho Books, FreshBooks and Wave all rebuild your chart of accounts, customers and products from lists like these, and none of them pull your QuickBooks attachments across automatically. See our switching guides for what each one imports.

Step 3: reports worth saving on their own

To export any single report, Intuit's steps are: Reports → Standard reports, open the report, then Export/Print → Export to Excel. Customized reports can also be exported to Google Sheets, PDF or CSV, depending on the report.

Our suggestion for a set to save as of your cutover date. These are the reports a new system, your accountant or a tax preparer usually asks for:

If a PDF export fails, stalls or comes out incomplete, Intuit says the report has probably hit its 50,000-cell limit for PDF. Export it to Excel instead, or split it into shorter date ranges. Excel files can also open in "protected view" with data missing; select Enable Editing in Excel to see the full report.

Step 4: payroll records

If you run payroll in QuickBooks, treat it as a separate job with an earlier deadline. Intuit's help articles say:

Our note: payroll history doesn't carry into Xero, Zoho Books, FreshBooks or Wave through their QuickBooks switching tools, so these files may be your only copy. Mid-year payroll switches also affect W-2s; ask your new payroll provider how it handles year-to-date figures.

Option: move to QuickBooks Desktop instead

Intuit also offers a migration tool that exports your QuickBooks Online company to QuickBooks Desktop. In short: QuickBooks Desktop must be installed and open; you download the tool from the Export Overview page in QuickBooks Online, choose either "All financial data" or "All financial data without transactions", wait for an email confirmation, download a QBXML file, and import it in Desktop from the No Company Open screen. Intuit notes that inventory isn't exported for products and services, and that large migrations can take hours. Afterwards, Intuit says to compare profit and loss reports in both, on an accrual basis.

Our note: this is mainly useful if you want a full working copy of your books on your own Windows PC. It needs a QuickBooks Desktop license, so it isn't a free archive.

Export checklist before you cancel

  1. Reconcile your bank and card accounts up to your cutover date.
  2. Run the bulk export: Settings → Export data, widest date range, all reports and lists on.
  3. Export estimates, purchase orders, recurring templates, chart of accounts, and products and services.
  4. Batch-export attachments from Settings → Attachments.
  5. Save the key reports as of your cutover date: trial balance, balance sheet, profit and loss, A/R and A/P aging, general ledger.
  6. Download customer statements for any customer with an open balance.
  7. Save payroll reports and filed tax forms, and finish final payroll tasks before canceling payroll.
  8. Our suggestion: open every exported file once to make sure it isn't empty or cut off, and keep two copies (for example, your computer and a cloud drive).
  9. Set up the new system, check its opening balances against your QuickBooks trial balance, then cancel QuickBooks.
  10. Put a reminder in your calendar a few weeks before your one-year read-only access ends, in case you need anything else.
